Blue Oak Parent Council (the PC) 

The Parent Council is the governing body of the Parent Guild and consists of one Class Representative per class, four elected officers, and three non-voting representatives -- one each from the Administration, Faculty and Charter Council.  Class representatives make up the bulk of the voting body of the parent council, voting on how Parent Guild monies are spent and on all parent governance issues. The Parent Council is the voice of all parents and also helps to coordinate and oversee Parent Guild Committees. (Parent Guild refers to ALL parents)

The PC meets consistently on the third Tuesday of every month at 6pm.  ALL parents are encouraged to attend and be a part of the school's decision making!

Roles and Responsibilities of Parent Council Members

Class Representative - Responsibilities 

  • Attend all Parent Council meetings, missing no more than 3 per year  
  • Vote on all action items
  • Communicates the happenings of the PC meetings to all their class parents after every PC meeting  * A “Quick Notes” report will be generated after each P.C. Mtg. and then it is emailed to each class rep., intended to be fwd. on to each class parent via. email.  If there are parents that do not partake in emailing, then one printed copy needs to be made available at each class bulletin board needed.
  • Organizes class parent volunteers to host one Faculty Appreciation Luncheon a year
  • Organizes class parent volunteers to assist with the annual festivals, Harvest Festival & May Fair
  • Collects Volunteer Hours forms – 3 times a year & submits forms to the Parent Council Officers
  • Creates & updates the Class Contact Sheets, so the phone tree & emails are always current
  • Helps keep track of Class funds and fundraising needs 
  • Welcomes & orients new parents, making sure each new family receives a Parent Guild Orientation Packet

* Note: Class reps. can delegate some of these tasks to other helpful class parents if needed, but class rep. must     be the one in attendance at P.C. Meetings and reps. are the only ones that can vote on action items.

 * Class Representatives are selected from each class by a majority vote by the parents of each class.  If only one parent volunteers for this position, that person is “elected” by default.  In the event that no one has volunteered to be the Class Representative by the end of the first week of school, one may be appointed by the teacher in time for the first PC Meeting of the school year.

PC Officer - Roles and Responsibilities   

  • PC Chairperson: Chris Grettum  570-3699  clgrettum@yahoo.com  
    • Prepares the monthly agenda & action calendar for all Parent Council Meetings
    • Facilitates and runs the PC meetings
    • Creates a Charter Council Elections Committee each year to facilitate the election process
  • PC Co-Chairperson: Summer O'Neill  228-2669 rubybluesummer@gmail.com
    • Updates all Parent Council Meetings & Events on the school’s online calendar
    • Is the main contact person and liaison between committee chairs, faculty and administration
    • Updates the Parent Guild Orientation information each year
    • Assists in filling committee chairperson roles and with the transitioning of any committee chairpersons

    • Prepares, posts & files minutes of PC meetings
    • Maintains PC records, by keeping current lists of Class Representatives & Committee Chairpersons & maintaining all PC forms and publications, ensuring they are current & readily available in the front office & on the school’s website
  • Treasurer: Holly Pladson  345-4196  hpladsoncpa@yahoo.com 
    • Disburses funds approved by the council
    • Maintains accurate records of all ongoing Parent Guild fundraising, deposits & disbursements
    • Maintains communication with the chair of the Fundraising Committee & the school’s business manager

*PC Officers are voted in at the 1st PC Meeting in September.
